Espresso and replenishment
Estimate morning and afternoon coffees, machine power and water needs, cold storage and how often stock must be replenished. A staffed espresso machine is a different service from delivered coffee.
Your stand opens at nine and meets buyers all day. Coffee, water, food and replenishment must work with the exhibition timetable, not arrive as a single morning drop-off.
Request a proposal ↗A specific brief prevents quotes for fundamentally different services being compared as if they were the same. These are the important facts to establish.
Multi-day stand coffee, refreshments, staff and exhibitor hospitality planning.
Discuss your event ↗An exhibition stand open 09:00–18:00 is not a one-evening reception. Estimate servings by time of day, equipment, resupply and who is responsible for venue paperwork.

Check the actual event's contractor access and food-service requirements. For some external catering scenarios, exhibitor-side SCIA and accreditation responsibilities cannot simply be delegated without agreement.
Illustrative brief only: 3-day trade show, 6 team members and 120 daily visitors. Forecast coffee separately from team lunch, VIP service, water and replenishment; validate numbers before ordering.
Actual service scope and rates require supplier and venue confirmation.
A thirty-five-minute lunch break is a hard constraint. A wonderful menu is no use if half the team is still queuing when the meeting starts.
